Common questions before you book.
The questions we hear most when prospects are deciding whether to grab a slot. The full FAQ covers a lot more.
How is your pricing structured, and what is the typical investment?
Build engagements vary in cost based on scope, complexity, and integration requirements. Pricing is structured around transparent, fixed-fee milestones rather than unpredictable hourly rates. To set expectations and reduce risk on both sides, every engagement begins with a low-risk Paid Discovery phase that maps your operations, scopes the build precisely, and produces a guaranteed fixed-fee proposal before any build work starts. You see the full investment in writing before any commitment.
As a solo operator, what happens if you become unavailable?
Business continuity is engineered into every engagement. All custom AI systems are built on standard, thoroughly documented architectures. Clients retain full ownership of the codebase and administrative access. In the event of unforeseen unavailability, comprehensive handover documentation ensures your systems continue operating without disruption.
Will this AI system replace my current employees?
Our approach focuses on augmentation, not replacement. The goal is to eliminate the repetitive, low-value administrative friction that frustrates your top performers. By automating routine data entry and reporting, your team is freed to focus on high-value strategic work, ultimately improving employee retention and job satisfaction.
How is this different from buying an off-the-shelf tool like Microsoft Copilot?
Copilot is a chat interface for individual employees. Steelhead builds agentic workflows that automate work end-to-end. Copilot helps an employee write a better email; we build a system that processes the email, updates your AMS, runs the carrier portal workflow, and lands the result in your file without anyone touching it. Copilot makes typing faster; we automate the work itself. Both have their place; they solve different problems.
How do you handle the privacy and security of our proprietary data?
Data security is paramount. We deploy enterprise-tier models via secure API endpoints where zero client data is used to train public models. Architectures are designed to comply strictly with PIPEDA. Data remains encrypted at rest, and your proprietary information never becomes part of the public AI domain.
How long does it take to see a return on investment?
Steelhead engagements are scoped to deploy within 6 to 12 weeks of project start, with the exact timeline depending on integration complexity and discovery findings. Because we target specific, high-friction operational bottlenecks during the discovery phase, measurable ROI, such as hours saved per week or increased throughput, is typically realized within the first 30 days of the system going live.
What exactly happens during the discovery call?
The 30-minute discovery call is a no-obligation diagnostic session. We will discuss your current operational bottlenecks, evaluate if AI is the correct solution for your specific use case, and outline what a potential roadmap looks like. There is no hard sell, just strategic alignment and capability assessment.
